Draft for review · 7 October 2026

These drafts are not a substitute for professional legal advice. Verify the facts and complete any bracketed information before publication.

Who is responsible

Kiavo is responsible for the personal information described here. Before publication, Kiavo should add its full legal entity name and a postal contact address: [insert verified legal entity and address]. You can contact us at hello@kiavo.co.uk.

Information you provide

When you submit the project builder, the information you enter is sent to Kiavo’s website hosting server and emailed to sales@kiavo.co.uk so we can respond. This includes your name, business, email address, optional website, service selections and project details. A temporary hashed form of the request IP address is used to limit spam submissions. Please do not include sensitive personal information in the form.

How we use information

We use information in messages to respond to enquiries, discuss possible work and provide services you request. We do not sell personal information. Kiavo should document the applicable lawful basis and retention period for each operational use before publication: [confirm lawful bases and retention periods].

Hosting and technical logs

The website is hosted by Fasthosts. The hosting server processes form submissions to deliver them by email and may process technical information such as IP address, browser details and request logs. The hashed rate-limit data is kept temporarily in the hosting environment and old entries are pruned when a later request is received. Confirm Fasthosts’ processing location and technical log retention before publishing this draft: [confirm host location and log retention].

Cookies and analytics

The current Kiavo website does not intentionally use advertising or analytics cookies. Essential technical storage or cookies may be used by the site host or a future embedded service. See the Cookie Policy and update this section whenever integrations change.

Sharing and service providers

We share information only where needed to respond to you, deliver agreed services, meet legal obligations or protect the website. A client website may use third-party tools such as payment, booking, maps, analytics or AI providers if agreed for that project. Their own privacy terms apply to their services.

Your choices and rights

You can contact us to ask about information you have sent to Kiavo, request access or correction, or raise a concern. Depending on the circumstances, UK data protection law may also give you rights to erasure, restriction, objection, portability or a complaint to the Information Commissioner’s Office.

Security and contact

We take reasonable steps to protect information in our care. No online transmission or storage method is completely secure. For privacy questions, email hello@kiavo.co.uk. This draft must be checked against Kiavo’s actual data handling and legal details before publication.
